How to organise receipts and invoices alongside spending

Keep readable receipts, match them to spending and avoid recording a purchase twice. Finantzak documents with Premium and their access limits.

A charge tells you how much you paid; a receipt or invoice explains what you bought. Keeping both with a consistent approach makes it easier to review a purchase, check an amount or find proof without turning every document into another expense.

1. Choose the receipts you need to find again

Start with purchases you may want to review: a repair, an appliance or a household expense. Keep the complete document and check that the date, supplier, description and amount are readable. A cropped or blurry image may be difficult to use when you need it.

Use recognisable file names, such as date, shop and purpose. Avoid unnecessary personal details in the name. Keep the original where needed: storing a copy in an app does not change any requirements that may apply to the document.

2. Match the document to the transaction

Check the date, account and amount of the recorded expense. If the compatible record supports attachments and you have access, associate the relevant receipt. For documentation that does not represent new spending, use the available file organisation without inventing a transaction to store it.

An outstanding invoice and its payment are not two separate purchases. Decide when to record the expense and check afterwards that the document has not produced a duplicate. If there are several payments, reconcile their total and keep clear references to what each covers.

3. Check the conditions in Finantzak

Finantzak includes document storage and viewing, with attachments on compatible records. These capabilities require Premium and depend on access, available quota, permissions and service availability. Free local Android use does not mean cloud files are included.

Before uploading a file, check the options on your screen and the current limits. Do not assume support for every format, unlimited storage or automatic reading of every receipt. Check dates, amounts and categories yourself; saving a file does not replace that review.

4. Test that you can retrieve what you saved

Open a document after saving it and check its readability and association with the correct record. Try finding it by a date or description you remember. If an upload fails or the file is missing, check its status before deleting your original copy or recording the expense again.

Set aside a monthly review to find duplicate documents, incomplete files and missing receipts. Share documents only with the appropriate people and permissions; do not publish receipts containing personal details to ask for help.

Illustrative example

Two documents, one purchase

Invoice for a repair
€120
Proof of payment for that invoice
€120 already paid
Repair expense
€120, recorded once

The invoice and payment receipt describe the same purchase. Keeping both does not increase spending to €240.

Start today
